My HOD plans a cultural and historical tour for some destination, say it A.
He has asked me (as he knows that I know good amount of things about trains et al) to collect information about conncessions given by Railways to schools/colleges on these tours. And minimum criterions to apply for these.
I might be an old member of this side, considering my age, i still need to know many of the facts about railways.

Here are some pictures of the Concession form.
Each form comes with three sheets (foils) they have to be filled using carbon paper to ensure that they are exact copies of each other.
Ask your institution office if they have this forms available with them. If not, you will have to make an official application via institution to the nearest Railway booking office to provide your institution with one Book of 50 forms. Your institution will need to provide an original specimen signatures of the authorised signatories of the institution (like principal/ vice

principal/ head master / mistress, HoD, etc)
Each form has a unique number which is used to get the concession (promo code kind of).
Please ask the station master (commercial) about the rules to fill up the form. Every time I plan a tour the railway officials at MAO appear to change rules with regard to filling forms. They take this seriously. Even a small error will force you to fill these forms all over again. It's really difficult, believe me! After that, get signatures from your institution head at the required places along with institute stamps.
Go back to the railway station and verify the signatures etc
Then fill up the normal reservation slips available at booking counters with six names at a time and stand in line to buy the tickets.
For return tickets, you have to fill up the same form again and follow the process again.
You need to write a name of at least one teacher on every form, so you can take maximum 19 students and minimum 1 teacher per form.
If you have more than 19 students then you have to fill up more than one form. but keep in mind you need to have a minimum number of students to get a concession ticket for a teacher. Like for example you are travelling with 22 students and 2 faculty. Fill up one form with four GIRL students and one faculty and the second form with 18 students and 1 faculty (one slot left blank).

Sorry for the delay, My IRI app was having issues in uploading the pictures.
Please meet the station master (commercial) and ask him about the rules in filling up these forms. The rules vary... so please talk to him/ her before you start filling up.
Hope you have a great trip.

It's quite long process. I wouldn't wonder if my HOD denies for this trip.
Hope we fulfill all requirements.
And successfully go ahead.
In our case we 25-30 students and 4 teachers.
